POSITION SUMMARY:

Responsible for auditing the progress of orders from scheduling through shipment, including the actual scheduling and creation of PO’S (purchase orders).  Serves as a liaison between distributors, freight forwarders, carriers, warehouse personnel, accounts receivable and customer service departments.

 

ESSENTIAL FUNCTIONS/DUTIES:

  • Schedules, follows and audits the progress of orders to meet customer requirements.
  • Proficiently uses warehouse software tools, especially those relating to the JDE Warehouse Management Systems utilized at facilities, and the required interface systems.
  • Represents Vinlux appropriately in relationship with owners, management, peers, employees, accounts, customers, carriers, and suppliers.
  • Must also maintain functional and professional relationships with all managers, admin, co-workers, company truck drivers, all carriers, and all representatives and suppliers of the accounts that service this
  • Provides clerical backup as needed.
  • Other duties as assigned by Customer Service or General Manager

An Assistant is assigned to a specific area with the additional duties as follows:

Pick Up Coordinator:

Inbound Scheduling:

-    Facilitates the timely and proper transport of goods from Warehouse locations.

-    Timely and accurate input of purchase orders.

-    Schedules carrier pick-ups and performs liaison duties between carriers, forwarders and the warehouse.

-    Prepares appointments, including pertinent information such as appointments number and time, carrier, equipment needs, case count, temperature control requirements, pallets or any other special requests.

-    Schedules appointment pick-ups.

-    Informs the warehouse manager and

-    supervisors of any delays, changes or other problems with orders or carriers.

-    Initiates scheduling changes to alleviate extremely heavy or light workloads.

-    Follows up on issues with shipment backorders and order holds.

-    Prepares and distributes daily appointment logs and sign in sheets

-    Participate in inventory cycle counts and inventory control functions as needed.

-    Generates and analyzes Order Status Report.

-    Maintains the accurate input of billing for each pick up for accounting.

-    Timely and accurate input of orders.

-    Schedules carrier inbounds and performs liaison duties between carriers, forwarders and the warehouse.

-    Prepares appointments, including pertinent information such as appointments number and time, carrier, case count, pallets or any other special requests.

-    Informs the warehouse manager and supervisors of any delays, changes or other problems with orders or carriers.

-    Initiates scheduling changes to alleviate extremely heavy or light workloads.

 

 

-    Follows up on issues with new items and discrepancies.

-    Maintains daily appointment chain log.

-    Generates and analyzes Order Status Report.
